This privacy notice will inform you how we look after your personal data when you visit our website as well as throughout and after your professional engagement with us. Additionally, it will tell you about your privacy rights and how the law protects you.

This privacy notice describes how we collect and use personal information in accordance with the UK’s data protection legislation, including the UK General Data Protection Regulation (“UK GDPR”), the Data Protection Act 2018 and the Data Uses and Access Act 2025 Act 2018 and any other legislation relating to the protection of personal information (data protection laws).
Parasol is a “data controller” under the data protection legislation, unless otherwise stated. This means that we are responsible for deciding how we hold and use personal information about you. Your information is gathered, shared and used by Parasol as set out in this privacy notice.
Parasol is part of a group of companies known as the Caroola Group. (collectively referred to as “our Group”, “we” or “us” in this policy).
Our Group companies are registered with the ICO.
Our Group values your privacy and is strongly committed to protecting your personal information. Each group company is required to handle your data in accordance with applicable data protection laws.
This notice applies to prospective, current and former employees, workers and contractors. This notice does not form part of any contract of employment or other contract to provide services. We may update this notice at any time.
This Privacy Notice sets out how your personal information will be processed, stored and used when you visit our website, engage with us over social media or otherwise use our services. We also collect information when you are a supplier, or we have a commercial contract with you. It is important that you read this notice, together with any other privacy notice we may provide on specific occasions when we are collecting or processing personal information about you, so that you are aware of how and why we are using such information.
We have appointed a Data Team who are responsible for overseeing compliance in relation to this privacy notice. If you have any questions about this privacy notice, including any requests to exercise your legal rights, please contact the Data Team using the details set out below.

DATA PROTECTION PRINCIPLES
We will comply with data protection legislation. This means that the personal information we hold about you must be:
- Used lawfully, fairly and in a transparent way.
- Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
- Relevant to the purposes we have told you about and limited only to those purposes.
- Accurate and kept up to date.
- Kept only as long as necessary for the purposes we have told you about.

What information do we collect about you?
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).
There are special categories of more sensitive personal data which require a higher level of protection.
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity data, which includes your name, age/date of birth and gender;
- Contact data which includes postal address including billing and delivery addresses, your location, telephone numbers (including mobile numbers) and e-mail address (we may also collect third party contacts for when we need an emergency contact);
- Employment records: which includes any right to work documents, Biometric Residence Permits, training records, CVs.
- Financial data which includes comprises your bank account and payment card details
- Technical data which includes data from devices you use to connect, such as computers and mobile phones, using cookies and other internet tracking software such as your IP address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the device(s) you use to access our website, MyParasol and our services.
- Profile Data which includes your account login details for website, MyParasol and/or apps including your username and password(s), your interests, preferences, feedback and survey responses, how you engage with our website and subsequent marketing communication.
- Usage Data, which comprises information such as about how you use our website, mobile application, products and/or services.
- Marketing and communications data which includes your marketing preferences from us and our third parties, your communication preferences and your correspondence to and communications with us;
- information captured by our CCTV, if you visit any of our premises; and
- other publicly available personal data, including any which you have shared via a public platform (such as a Twitter feed or public Facebook page).
This list is not exhaustive, and in specific instances, we may need to collect additional data for the purposes set out in this Privacy Notice.
Where it is necessary for us to gather special categories of personal data we will only do when we have a lawful basis. Special Category personal data, includes information about your race, ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data (where this is used for identification purposes), health data, and sex life.
In the course of providing services we may also collect, store and use the following special categories of more sensitive personal information:
- Trade union membership.
- Information about your health, including any medical condition, health and sickness records.
How is your personal information collected?
We use different methods to collect information from and about you.
We collect personal information when you visit and / or contact us or you request information from the website. We also collect personal information when you register for services or enter into a commercial agreement with us.
We also collect information when you engage with us via social media.
We may collect personal information about you (or your business where applicable) from other companies within our group. :
Data you give to us:
This is information about you that you give us by filling in forms on our sites (the Website or apps) or registering to use our services. The types of information you give us may include your name, address, e-mail address and phone number, financial and credit card information, personal description and photograph. We require this information:
- When you apply to join Parasol or request a call back
- When you talk to us on the phone
- When you use our websites or portal
- From personnel records
- In emails and letters
- In surveys and / or when you provide feedback
- If you use our “refer a friend” scheme
- When you ask us to refer you to our external partner services
Data we collect.
When you browse our website, use our mobile application or otherwise interact with our digital platforms, we may collect information about your visit to our website, your web browsing, and your activity within our mobile application. This includes the amount, frequency, type, location, origin and recipients:
We will collect additional personal information in the course of job-related activities, such as email and phone correspondence, throughout the period of your working.
CCTV and telephone recordings
We may collect and use personal data obtained from CCTV surveillance and when you contact us by telephone.
CCTV operates throughout our premises, and we have placed clear signage to inform you of our use of CCTV. Footage is retained for a limited period of time, unless required for investigation or legal purposes.
We may record and monitor incoming and outgoing telephone calls. Recordings are used to protect the interests of those participating in the call and to provide us with relevant information when managing incidents and supporting investigations.
Recordings may also be used for staff training exercises to improve the quality of our services. Telephone recordings will be stored securely and only retained for limited period unless required for legal purposes.
Payment information:
We may process your personal information to process any payments made for the provision of services and or products. The information may include information for identification and verification, such as your name, credit, debit or other card number, card expiration date, and CVV code.
Any payment transactions carried out by us, or our chosen third party provider of payment processing services will be kept secure and encrypted where possible

In addition to the personal data, you provide us directly, we may supplement the information that you provide with other information that we obtain from our dealings with you or which we receive from other organisations, for example:

If you fail to provide personal information
Where we need to collect personal information by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (such as paying you or providing a benefit), or we may be prevented from complying with our legal obligations (such as to ensure the health and safety of our workers). In this case, we may not be able to commence employment and may terminate any agreement for such employment, but we will notify you if this is the case at the time.
How we will use your personal information
We will only use your personal information when the law allows us to. Most commonly, we will use your personal information in the following circumstances:

- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.

We need all the categories of information in the list above (see What information do we collect about you?) primarily to allow us to perform our contract with you and to enable us to comply with legal obligations. In some cases, we may use your personal information to pursue legitimate interests of our own or those of third parties. A legitimate interest is when we have a business or commercial reason to use your information. But even then, it must not unfairly go against what is right and best for you. If we rely on our legitimate interest, we will tell you what that is.

Some of the above grounds for processing will overlap and there may be several grounds which justify our use of your personal information.
How we use particularly sensitive personal information
Special categories of particularly sensitive personal information require higher levels of protection. We need to have further justification for collecting, storing and using this type of personal information. We may process special categories of personal information in the following circumstances:
- In limited circumstances, with your explicit written consent.
- Where we need to carry out our legal obligations and in line with our data protection policy.
- Where it is needed in the public interest, such as for equal opportunities monitoring or in relation to our occupational pension scheme, and in line with our data protection policy.
- Where it is needed to assess your working capacity on health grounds, subject to appropriate confidentiality safeguards.
Less commonly, we may process this type of information where it is needed in relation to legal claims or where it is needed to protect your interests (or someone else’s interests) and you are not capable of giving your consent, or where you have already made the information public. We may also process such information about employees or former employees in the course of legitimate business activities with the appropriate safeguards.
Marketing
We strive to provide you with choices regarding certain personal information uses, particularly around marketing and advertising.
If you have given your consent to receive marketing emails, you can withdraw this at any time, or if we are relying on our legitimate interests to send you marketing, you can object.
You can ask us or third parties to stop sending you marketing messages at any time by following the opt-out links on any marketing message sent to you, or you can adjust your marketing preferences by checking or unchecking the relevant boxes when you follow the Email Preferences link. You can also email the marketing team directly: marketing@caroola.co.uk.
Where you opted out of receiving marketing emails, this will not apply to communications between us necessary to carry out your employment or any other important notice in relation to our offering and changes to your existing employment.”
We may ask for your feedback or invite you to participate in surveys to help us understand your experience and improve the quality of our services. We process this information based on our legitimate interests so we can improve the quality of our services. This is different from marketing activities: we do not use your survey responses or feedback to send you promotional content or advertising.
Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.
If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.
Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
International transfers
We will only send your data outside of the United Kingdon (UK) and the European Economic Area (“EEA”):

- To work with any agents, subcontractors or advisers who we may use to offer accounting support services
Whenever we transfer your personal information out of the UK or the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:
We will only transfer your personal information to countries that have been deemed to provide an adequate level of protection for personal information by the UK or the European Commission
Where we use certain service providers outside of the UK or the EEA, for example the USA, we may use specific contracts approved by the UK Government or the European Commission which give personal data the same protection it has in UK or Europe

DATA SECURITY
Third parties will only process your personal information on our instructions and where they have agreed to treat the information confidentially and to keep it secure.
We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our instructions, and they are subject to a duty of confidentiality.
We have put in place procedures to deal with data security breaches. Where required by legislation, we will notify you and any applicable regulator of a suspected breach where we are legally required to do so.
How long will you use my personal data for?
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, insurance, contractual or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
Your legal rights
Under certain circumstances, you have rights under data protection laws in relation to your personal information.
Access to your personal information:
You are entitled to make a data subject access request to receive a copy of the personal information we hold about you. We may need to verify your identity before we provide this to you.
Please note that you will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
Request correction of personal information:
This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal information:
This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
Object to processing of your personal information:
This is where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object when we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have legitimate grounds to process your information which overrides your rights and freedoms.
Request restriction of processing your personal information
This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data's accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
Request transfer of your personal information
We will provide to you, or a third party you have chosen, your personal data in a commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
Right to withdraw consent
You have a right to withdraw your consent at any time. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to commence employment and may terminate any agreement for such employment. We will advise you if this is the case at the time you withdraw your consent.
Right to not be subject to automated decisions and profiling:
You have the right to not be subject to solely automated decisions (i.e., decisions that are made about you by computer without any human input) in relation to any processes that have a legal or similarly significant effect on you.
We do not make decisions based solely on automated processing, including profiling, that produce legal effects or similarly significant impacts on individuals, unless such processing is:
- Necessary for entering into or performing a contract;
- Authorised by law; or
- Based on your explicit consent.
Where such decisions are made, we implement appropriate safeguards to protect your rights and freedoms, including the right to obtain human intervention, express your point of view, and contest the decision.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information or to exercise any of your other rights. This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
